Do you have your eye on a top candidate who’s playing hard to get?

You know the ones, they have all the best recruitment emails just sitting in their inbox. They can kick back and take their sweet time because they have plenty of options to choose from. If that makes you nervous, don’t sweat.

The truth is: many hiring managers are using poor cold recruiting email templates. To get noticed in a jam-packed inbox, you have to put in the effort and personalize the templates. Contrary to popular belief, cold recruiting emails are still an effective way to bring in candidates.  However, since the average worker receives 121 emails per day, recruiters must put in some elbow grease to attract the top candidates and get a response over other suitors.

So what can you do to improve your strategy and ensure your emails are opened, read and replied to? Give personalization a try! Following are 4 easy ways to create hyper-personalized cold recruitment email templates that take only a few minutes to write and make your emails stand out.

How do you write an appealing recruitment email?

Before you write a template, there are a few things you should always do:

  1. Qualify your candidates: Use Lusha, an HR management and email finder Google Chrome extension to qualify potential talent. By creating a profile on them from either LinkedIn or Gmail, you’ll receive the candidate’s name, email address, phone number, current job role and description, industry, company and lots more! This way you won’t make the mistake of emailing someone with no experience or interest in your position (which happens a lot!).
  2. Write a great subject line: You should spend more time on your subject line than on your actual email content. Yup, it’s true! If the subject line doesn’t get your message opened, the pitch will never get read.
  3. Find common ground: Mention a shared acquaintance in your subject line or paragraph to establish trust and get a quicker response. It could be a colleague from their company or a shared connection from social media.
  4. Talk about what makes them special: Top candidates get a lot of compliments like “You seem like you have the experience we’re looking for” in their recruitment emails. This isn’t good enough. You need to be more specific like “You have over 10 years of expertise in Adobe Photoshop that we’re looking for” or “We are impressed that you have generated $2.3 million in sales for your last company.”

Next up, we’ll provide three sample recruiter-to-client email templates. They include the 4 major components that help personalize your outreach message.

Template 1

Hi <first name>,

My name is [X] and I’m the [Job Position] here at [Company].

I’m looking to find someone to join our [marketing] team. The latest feature you published in [publication name] particularly drew my attention. We are currently working on a similar project for our application, and we think your experience would be a strong addition to our team.

Sincerely,
FIRST AND LAST NAME

Template 2

Hi <first name>,

My name is Amybeth and I work for <company name>. Hope you don’t mind the outreach;

I found your information while I was looking around <website> this morning. It looks like you’ve had some great experience with <skillset/industry/company> which is what compelled me to email you. I’m looking for a <job title> for our <city> office and we need someone with experience similar to yours. I’m not assuming that you’d be interested, but at the very least I figured you might know someone with whom I should connect.

I am hoping that you would be willing to connect me with one or two colleagues with similar professional backgrounds as yourself. Of course, if you’d like to discuss this opportunity yourself that would be fantastic too!

Either way, I look forward to hearing back from you. Take care and have a great afternoon!

Sincerely,
Amybeth Hale

Template 3

Subject line: [Company_name] is looking for a [job_title] / Interested in joining our team at [Company_name]?

Hi [Candidate_Name],

I am [your name], [your job_title] at [company_name]. I saw your profile on [e.g. LinkedIn or GitHub] and I was really impressed by your experience in [add a specific field or an achievement that caught your eye].

We are currently looking for a [job_title – add a link to the job description] to join our team. I’d love to tell you a little more about this position and learn a few things about you, as well. Are you available [include date and time or a period of time, e.g. ‘sometime this week’]? If so, I’d be happy to set up a call. I’m also happy to coordinate via email or LinkedIn if you prefer.

I hope you have a great day,

[Your name]

Template 4

Subject: Hi Janet!

Hi Janet,

I’ve been meaning to reach out to you, but I was a bit hesitant because you had only been at your job for maybe 3 months. Now it’s been 4 months so that changes everything! (not really, but I did get a bit tired of waiting). I was extremely impressed with your portfolio on Dribbble, and so were a few of the designers here at Ka-Boom Marketing, a digital agency in Seattle I recruit for.

This might be a long shot, but if you’re open to making a career move, I’m looking to hire a contract UX Designer.

Are you open to hearing a little more about the role?

If the timing isn’t right, I can definitely understand. Let me know when you have a moment.

Best,
Angela

Top 3 Tips

  • Don’t make it too long. No matter which cold email template you use,  your email should be 4-5 sentences max and be specific.
  • Avoid bragging about your company. Instead, focus on values and other opportunities you can provide a person with.
  • Don’t forget about a call to action in your email copy. Give your prospects the ability to answer your question fast.

One challenge is left – how to get your candidates’ emails? We can definitely help with that! Lusha provides contact information, such as personal phone numbers and emails at a click of a button. Try it today.
